Sending a Message to a Patient

This article walks through sending a message with attachments from Updox to the Updox Patient Portal to be received by a patient.

 

Before you begin & About the portal:

In order to send a message to a patient there must be a patient in your Updox Address Book.
Patients in the Address Book are either fed directly from your EMR or can be added to the Address Book by you.
When the Updox Patient Portal account is created (the first time you send the patient something through the portal) we send an email notification to the patient if there is an email address listed in the Address Book for that patient. NOTE: If the email is not found in the patience email inbox check the Spam folder.
As a test you can create a fictitious patient in the Updox Address Book and use an email address that you have access to for that patient.

The first time you send an item to the patient here is what to expect:
  • You will receive a secure message in your Updox Inbox/Workspace. This message informs you that the portal account was created for the patient and will list their User Name, Password, and Verification Code.
  • If an email address is on file for that patient: An email will be sent to the patients email address. The email will contain a link to the Updox Patient Portal landing page for your practice. It will also contain their user id, password and instructions on how to sign in. NOTE: If the email is not found in the patience email inbox check the Spam folder.
  • If an email address is not on file for that patient when the first item is sent and the portal account is created: No email can be sent to the patient and the practice is responsible to convey the information needed to login to the patient.
If it is not the first time a message is sent to this patient the following will happen:
  • If an email address is on file for that patient: An email will be sent to the patient advising them that they have received a new secure message from (your practice name) along with the link for your practices Updox Patient Portal landing page. NOTE: If the email is not found in the patience email inbox check the Spam folder.
  • If an email address is not on file for that patient when the item is sent: No email can be sent to the patient and the practice is responsible to convey the information needed to login to the patient.


Sending to the patient through the Updox Patient Portal:

To send all the pages of a single item from Updox to the patient:

  1. From the Updox Workspace/Inbox click on the 'Send Item' button to the left of the pages you want to send. A new window will open and you will see the pages for that item listed as attachments at the top of that window.
  2. Search for the patient you wish to send the message to.
  3. Click the Send to Portal button
  4. Complete the Subject and Message sections
  5. Click Send at the top of the window to send the message and attached pages to the patient.
NOTE: The Send Item button pulls in all the pages for that item. Because you used that button, we know you have used all the pages for that item, and we move the item itself out of your way and into the Archive. You can perform any actions on the pages while they are in the Archive that you could while they are in the Inbox; we just move it to get it out of your way.


To send only specific pages of an item or items from Updox to the patient:

  1. From the Updox Workspace/Inbox select the pages you wish to send by placing your cursor over the page and clicking in the gray space or the check box that appears below the page.
  2. Click the 'Send this 1 page/Send these 'X' pages' button that appears in place of the Send Item button (remember the Send Item button will add all the pages for the item as attachments to the message you are trying to send) A new window will open and you will see the pages for that item listed as attachments at the top of that window.
  3. Search for the patient you wish to send the message to.
  4. Click the Send to Portal button
  5. Complete the Subject and Message sections
  6. Click Send at the top of the window to send the message and attached pages to the patient.
